Identifying Scanner Variants: Optics, Cradles and Cables

Scanner model numbers describe a family rather than a specific device. Within one family there are variants that read different things and connect in different ways, and the difference between them cannot be corrected after purchase.

Optics are the variant that matters

Because optics are fixed at manufacture and cannot be configured.

A scanner family typically includes several optics classes.

Standard range, for ordinary retail and warehouse codes at normal working distance.

High density, for small fine codes — components, pharmaceutical packaging, laboratory vials, asset tags.

Extended or long range, for reading at distance — high-bay racking, pallet labels read from a forklift.

Direct part mark, for codes etched or stamped into metal, which have no printed contrast and need different illumination.

If a scanner cannot resolve your smallest code, or read at your furthest distance, no setting changes that. The device is wrong for the job rather than misconfigured — our buying guide covers choosing between them.

This is why "we have that model" is not the same as "we have the right one".

Corded, cordless and cradle variants

The second axis of variation, and it affects what you actually need to order.

Corded models are supplied with a cable, and the cable is a separate part — and interface-specific, since the same scanner may be available with USB, serial or other cables.

Cordless models need a cradle, and the cradle is frequently sold separately or as part of a kit. A cordless scanner without its cradle is not usable.

Two practical points.

Kits versus individual items. A scanner listed cheaply may be the device alone, without cable, cradle or power supply. Check what is included rather than assuming.

Cables are not universal within a brand. Connector types on the scanner end differ, so a cable from another model may not fit.

What can be changed and what cannot

Worth being clear about, since it saves time chasing settings that do not exist.

Can be changed: which symbologies are enabled, interface mode, terminators and prefixes, beep volume and tone, scan mode, aiming behaviour, and duplicate scan delay. Our configuration guide covers building a fleet profile.

Cannot be changed: optics class, whether the device is a laser or an imager, physical ruggedness rating, and cordless capability.

Two consequences of that list.

A scanner that reads most codes but not one type is almost certainly a disabled symbology rather than a wrong variant. GS1 DataBar and Data Matrix are the usual culprits, both widely used and both frequently off by default.

A laser scanner will never read a phone screen. Lasers detect reflected light from printed codes, and a backlit display does not present that. This is a variant problem, not a settings problem.

Identifying what you have

Four methods, most to least convenient.

Read the label on the underside or back. It carries the full model string including the variant suffix, plus a serial number. The suffix is the part that identifies optics and connectivity, and it is the part people omit when asking for a replacement.

Scan the manufacturer’s version barcode. Most manufacturers publish a configuration barcode that makes the scanner report its own model, firmware and configuration — useful when you cannot easily read the label.

Use the configuration utility, which reports the connected device in detail.

Test it practically. If the label is gone, testing against your smallest code at your working distance tells you whether the optics suit the job, regardless of what the device is called.

Ordering a replacement

The specific risk: ordering the same family and getting a different variant.

A replacement that reads at standard range where the original was extended range will fail on exactly the reads that matter, and it will look like a faulty unit rather than a wrong one.

Five things to send with an enquiry.

The full model string including the suffix, from the label. Whether it is corded or cordless, and whether you need a cradle. What cable and interface you need. Your smallest code size and furthest read distance, which confirms the optics independently of the model number. And whether phone screens are scanned, which rules out lasers entirely.

That fourth point is the useful safeguard: even if the model string is wrong or illegible, stating the actual reading requirement lets a supplier confirm the right variant. Our quote guide covers what else speeds things up.

Keeping fleets consistent

Two practices worth adopting.

Standardise on one variant per role, so a spare covers everywhere it might be needed. A mixed fleet means a spare that fits some stations and not others — our standardisation guide covers why that adds up.

Keep spares configured and charged rather than boxed, with the saved profile applied. A spare needing setup is not a spare during a busy period.

Common questions

Is the model number enough to order a replacement?

Can I configure a scanner to read finer or further?
