Warranty & Returns Process
Everything we supply, new or refurbished, carries a 30-day TechSellerUSA warranty, and returns run for 30 days with no restocking fees. This page explains how both work in practice so you know what to expect before you need it.
What the warranty covers
If a part arrives faulty, or fails within 30 days of delivery, we replace or refund it. That applies equally to new and refurbished stock; we do not offer a shorter window on refurbished units.
What it does not cover is damage caused after delivery: physical damage, incorrect installation, power events, or use outside the manufacturer’s stated operating conditions. If a drive rated to 0°C is installed in a freezer application, that is a specification problem rather than a warranty one, and we would rather help you avoid it at the quote stage.
Returns within 30 days
Returns are accepted for 30 days from delivery. Unlike much of this market, we charge no restocking fee. Charges of 15 to 25 percent are common elsewhere and exist mainly to discourage returns; we take the view that a buyer correcting a part number error should not be penalised for it.
Items should be returned in the condition they arrived, with any carrier, tray or cable that shipped with them. A drive returned without its caddy cannot be resold as supplied, so please keep the packaging until you have confirmed the part is correct.
How to start a return or warranty claim
Email returns@techsellerusa.com with your order number and the part number concerned. Tell us briefly what happened: did it arrive damaged, fail to be recognised, fail in service, or turn out to be the wrong part for the platform.
We respond within four business hours during our operating window, Monday to Friday, 9:00 AM to 6:00 PM EST. You will receive return instructions and, where a replacement is being sent, confirmation of dispatch timing.
Please do not send anything back before contacting us, as returns arriving without prior notification take considerably longer to process.
Faulty on arrival
If a part is dead on arrival or clearly damaged in transit, tell us as soon as you find it and include a photograph if damage is visible on the packaging or the unit. These cases are prioritised because they usually mean a system is waiting.
If the failure has taken a production system down, say so in the first email. We will treat it accordingly rather than working through it in queue order.
Wrong part ordered
This is the most common return reason in enterprise hardware, and it is nearly always a compatibility issue rather than a mistake: a carrier generation that does not match, a firmware requirement nobody flagged, or a part number that looked equivalent but was not.
Return it within 30 days and we will exchange it. More usefully, tell us the server model and we will identify what actually fits, so the replacement is right. Our compatibility guide covers the traps on each major platform.
If you are unsure before ordering, send us the part number from a unit currently in the chassis. Confirming compatibility upfront takes minutes and avoids the whole process.
Diagnosing before you return
Some symptoms look like a failed part and are not, and checking first can save a return entirely.
A drive not detected is often a carrier or backplane seating issue rather than a dead drive. Reseat it and check the tray type matches the chassis.
A drive flagged as unsupported by a Smart Array, PERC or ServeRAID controller is usually a firmware coding issue, not a fault. The drive works; the controller will not accept it.
Faint or patchy label printing is more often media or a dirty printhead than a failed printhead. Clean the print line with isopropyl alcohol and try known-good media before concluding the head has failed. A thin white line running the length of every label, on the other hand, is a dead heating element and does need replacement.

Orders on purchase order or net terms
Returns and warranty claims work the same way on invoiced orders. Credits are issued against the original invoice, and where a replacement is sent instead, the invoice is left in place. See Payment Terms & Purchase Orders for account arrangements.
