Verifying Genuine Hardware: Refurbished, Grey Market and Counterfeit
The enterprise hardware secondary market is large, legitimate and useful. It also contains counterfeit parts, relabelled components and equipment sold as something it is not. Knowing how to tell the difference protects you, and it is a reasonable thing to ask any supplier about.
What the terms actually mean
Four categories get conflated, and only one is genuinely a problem.
Refurbished means genuine hardware, previously used, inspected and function-tested before resale. This is the bulk of the secondary market and it is legitimate.
Grey market means genuine hardware sold outside the manufacturer’s authorised channel — frequently stock intended for another region. The hardware is real; warranty and support may not apply where you are.
Relabelled means genuine hardware with its identity altered — a lower-specification part marked as a higher one, or a generic part marked as an OEM one. The hardware works; it is not what the label says.
Counterfeit means the part is not what it claims to be at all. This is the category that causes failures, and it is rarer than internet anxiety suggests but not absent.
The useful question to a supplier is not "is this genuine" but "what is the source, and what does the label represent".
Physical indicators
Several things are worth checking on arrival, particularly with a new supplier.
Label quality and consistency. Manufacturer labels are printed to a consistent standard. Fuzzy printing, misaligned text, wrong fonts, incorrect logos or a label that looks newer than the device are all worth questioning.
Signs of label replacement. Residue around the edges, a label sitting over another, or a label whose surface finish differs from the device.
Part number internal consistency. Enterprise part numbers encode specification. If a drive label says one capacity and the drive reports another, or the firmware revision does not match the stated part, something is wrong. This is the single most reliable check available to a buyer.
Build quality details. Connector finish, screw types, casting quality and internal labelling are difficult to replicate exactly and easy to compare against a known-good unit from the same batch.
The most practical version of all this: compare against a unit you already have. If you are buying spares for equipment in service, you have a reference sample.
Electronic verification
More reliable than physical inspection, because it reads what the device reports about itself rather than what is printed on it.
Query the device. Drives, memory modules and network adapters all report identity, capacity, firmware and frequently serial number to the operating system or controller. Compare that against the label.
Check firmware. OEM-coded parts carry vendor firmware, and a drive claiming to be an OEM part while reporting generic firmware is relabelled rather than counterfeit — still not what you ordered.
Controller behaviour is diagnostic. Enterprise controllers validate drive firmware. A drive flagged unsupported when the part number says it should be supported is telling you something. Our troubleshooting guide covers reading those states.
Serial number lookup. Manufacturers frequently offer warranty status checks by serial. A serial that does not exist, or that reports as a different product, is a clear signal. A serial already registered elsewhere is worth asking about — though on secondary-market hardware that is often simply the previous owner.
Where counterfeits concentrate
Not evenly distributed, and knowing where to look carefully is more useful than blanket suspicion.
Small, high-value, hard-to-inspect items. Memory modules and optical transceivers are the common cases, because they are physically simple and the specification is not visible.
Parts for discontinued platforms where legitimate supply has thinned and demand persists. Our end-of-life guide covers why that demand exists.
Anything priced substantially below the market. The secondary market has a going rate. A price well below it usually means the part is not what is described, is in worse condition than stated, or carries a problem the seller knows about.
That last point is the most useful heuristic available. Unusually cheap is information.
What to ask a supplier
Reasonable questions, and a supplier who cannot answer them clearly is worth being careful with.
What is the condition — new, refurbished, pulled from working equipment? What testing was done before dispatch? Is the part OEM-coded or a generic equivalent, and which does the label say? What is the warranty and how are claims handled? Can they supply serial numbers before shipping, for volume orders?
None of those are awkward questions. They are the questions a supplier who knows their stock can answer immediately.
Practical protection

Test before it goes into production. A part discovered to be wrong during a rebuild is a considerably worse situation than one discovered on a bench.
Record what you received. Part numbers and serials, kept with the asset record. It makes warranty claims straightforward and makes patterns visible if a supplier turns out to be unreliable.
Establish a supplier relationship rather than buying purely on price. A supplier who expects repeat business behaves differently from a one-off marketplace listing.
