Goods-In and Receiving Hardware: Getting Accuracy Right

Goods-in is where inventory accuracy is decided. Every error made at receiving propagates through putaway, picking and counting, and by the time it surfaces the cause is untraceable.

The scan must be the transaction

The design point that matters more than any hardware choice.

If the scan confirms something already typed, it verifies a keystroke rather than the goods. If the scan is what records the receipt, it verifies the item.

That distinction is why receiving errors persist in operations that have scanners. The hardware is present and the workflow does not use it as the source of truth.

Two receiving errors account for most downstream problems: quantities recorded rather than counted, and quantities recorded against the wrong item. Both are addressed by scanning the item and entering the count at the point of receipt, not afterwards from a paper note.

What receiving hardware needs to handle

Goods-in sees a wider range of label conditions than anywhere else in the building, because the labels were produced by someone else.

Damaged labels. Torn, creased, scuffed and wet from transit. 2D imagers tolerate this far better than lasers, and error correction in 2D codes means a scratched Data Matrix frequently still reads where a damaged linear code fails.

Varied symbologies. Suppliers use what their systems produce. GS1-128 on cartons, various linear codes on items, Data Matrix on components. Several of these are disabled by default on scanners — our configuration guide covers enabling what you actually receive.

Curved and awkward surfaces. Labels on drums, rolls and irregular packaging.

Reading at distance. Pallet labels read without unwrapping, sometimes from a forklift.

That last one is a specification decision: if pallets are read from a distance, standard-range optics will not do it, and optics are fixed at manufacture. Our scanner guide covers optics classes.

Scanner or mobile computer at goods-in

Usually a mobile computer, and for a specific reason.

Receiving is not pure capture. The operator needs to see what was expected against the purchase order, enter counts, flag shortages and damage, and frequently photograph damaged goods as evidence for a claim.

A scanner that only captures codes means walking to a terminal, which is the friction that pushes people back to paper notes — and paper notes are where the errors come from. Our mobile computers guide covers device selection.

Where receiving is high-volume and consistent — the same cartons through a fixed station — a fixed-mount or presentation scanner at the station can be faster, with a terminal alongside.

Print at receipt

Where a printer at goods-in earns its cost.

Supplier labels frequently do not carry what your systems need — your item codes, your location, your batch or date structure. Printing your own label at receipt means everything downstream reads a consistent format rather than interpreting whatever arrived.

Two practical points. Media must suit the destination: labels going into chilled or frozen storage need adhesive that bonds cold, and standard adhesive fails silently. Our cold chain guide covers this.

And volume decides the printer class. A goods-in bay printing steadily through a shift is an industrial application — metal chassis, high printhead duty rating, large media capacity so it is not reloaded four times a day. Our printer class guide covers where the line falls.

Putaway is half the accuracy problem

Receiving correctly and then losing the stock achieves nothing.

Scan the location as well as the item. That records where stock actually went rather than where it was supposed to go, and misplaced stock is one of the most common causes of discrepancies.

Location labels must be readable at working distance, including high-bay positions read from a forklift, which needs extended-range optics.

Location labels must survive. Rack labels get knocked by pallets and forks; paper with a wax ribbon does not last, polyester with a resin ribbon does. An unreadable location label fails quietly and takes that location out of accurate counting.

Connectivity at the dock

Loading bays are frequently the worst-covered part of a building — open doors, metal, and often at the perimeter of the wireless design.

Two consequences. Check coverage at the dock specifically rather than assuming the building survey covers it. And make sure batch mode is enabled so receipts recorded during a coverage gap upload on reconnection rather than being lost.

Specifying goods-in

What symbologies do your suppliers actually send, and are they all enabled. What is the furthest distance a label is read from. Are labels frequently damaged on arrival. Does the operator need to see expected quantities and record discrepancies. Do you print your own labels at receipt, and where does that stock go afterwards. And is there reliable coverage at the dock.
