Asset labelling is tedious, unglamorous, and the difference between a ten-minute fault and a two-hour one. This covers a scheme that survives contact with reality.

What labelling is actually for

Three uses, and they want different things.

Finding a specific machine physically. Someone is told to reboot a server and needs to identify it in a rack of similar boxes, possibly at a site they have never visited.

Tracing a cable to its other end without unplugging it.

Linking physical equipment to records — asset register, support contracts, monitoring.

A scheme that serves all three is better than three schemes.

A scheme that works

Four principles.

Include the location in the identifier. Site, rack, position. A label that says what a machine is without saying where it is solves only half the problem.

Keep it short enough to read and say. Someone will read it over a phone under pressure. Long identifiers get misread.

Avoid characters that look alike. Zero and letter O, one and letter I. This matters more than it sounds when someone is reading a label in a dim rack.

Do not encode things that change. A label containing the machine’s role or owner is wrong the first time either changes, and nobody relabels. Encode what is stable — location and a unique identifier — and keep the changeable information in records.

What to label

Every machine, front and rear. The rear one matters because that is where you are when cabling.

Both ends of every cable, with each label identifying the other end. A cable labelled only at one end is half-labelled.

Patch panel ports, mapped to outlet locations.

PDU outlets, so you know what you are switching off before you switch it off.

Rack positions themselves, if the rack is not numbered.

Labels that survive

Four practical points, because a label that falls off is worse than none — it suggests the equipment was labelled and is now unidentified.

The right adhesive for the surface. Warm equipment, textured plastic and cable jackets all defeat general-purpose adhesive.

Cable labels that wrap, with a flag or self-laminating overlap, rather than a sticker that peels from a curved surface.

Keeping it current

The part that fails.

Labelling is done properly at installation and decays afterwards, because changes happen under time pressure and relabelling is the step that gets skipped.

Three habits.

Relabel as part of the change, not afterwards. A cable moved and not relabelled is wrong immediately.

Keep the label printer where the work happens, not in an office. Friction is why labelling does not get done.

Audit during other work. When someone is in a rack for another reason, checking labels costs minutes.

Why this matters more on a used estate

A practical point.
