Label Print Position: Calibration, Offsets and Drifting Output

Print creeping down the label, text running off the edge, or output that starts correct and drifts over a roll are among the most common calls in label printing, and almost none of them are hardware faults. They are a calibration problem, an offset problem, or a disagreement between the label template and the media actually loaded.

This guide covers how a printer works out where a label starts, what each offset setting moves, how to diagnose drift as opposed to a fixed misalignment, and the template-versus-printer conflict that makes corrections appear not to stick.

How the printer finds the label

A thermal printer has no idea where a label begins until a sensor tells it. Three sensing methods are in common use, and the printer must be set to the right one.

Gap or transmissive sensing shines light through the web and detects the gap between die-cut labels. It is the default for most standard label stock.

Black mark or reflective sensing looks for a printed mark, usually on the liner's underside. It is used on continuous stock, on tags, and on media where a gap cannot be detected reliably.

Continuous mode disables detection entirely and feeds a fixed length. It is for continuous receipt or tag stock with no gaps and no marks.

The sensor is also physically positioned. On many industrial printers it slides across the web width, and it must sit where the gap or mark actually passes. On media with a notch or an off-centre mark, a sensor parked in the middle sees nothing. That single detail causes a surprising share of feeding faults.

Calibration comes before offsets

Calibration is the printer measuring your media: label length, gap length, and the sensor readings for backing versus label. Until that has been done against the media actually loaded, no offset value means anything.

Run calibration whenever you change media type, label size, or supplier, and when print position has drifted for no obvious reason. Most printers offer it from the front panel or by a button sequence, and many will consume several labels doing it, which is normal.

If calibration itself fails, the printer is not seeing the gap. Check the sensing method matches the media, the sensor is physically in line with the gap or mark, and the sensor window is clean. What each offset does

Names vary by manufacturer, but the functions are consistent.

Top of form, or label top, moves the image up or down the label relative to where the printer thinks the label starts. This is the one to use when everything is printing a few millimetres too low or too high.

Left position, or label shift, moves the image across the label. Use it when content is correct vertically but crowding one edge.

Tear-off, cut or peel offset moves where the media stops after printing, not where the image sits. If the print is correctly placed but the label tears or cuts in the wrong place, this is the setting, not top of form. Getting these two confused sends people in circles. Fixed misalignment or progressive drift

These are different faults and the distinction tells you where to look.

A fixed misalignment β€” every label out by the same amount in the same direction β€” is an offset or a template problem. Adjust and it is done.

Progressive drift, where the first labels are right and the error grows through the roll, means the printer's idea of label length does not match reality and the error accumulates. Causes worth checking:

  • Calibration never run against this media
  • Label length set manually in the template and slightly wrong
  • Sensing mode set to continuous, so the printer is feeding a fixed length rather than detecting each label
  • A slipping or contaminated platen roller, so the media advances slightly less than commanded
  • Media guides too loose, letting the roll wander

Drift that resets every few labels usually means the sensor is detecting something intermittently β€” a pre-printed element being mistaken for a gap, or a marginal sensor reading. Recalibrate and check for pre-print in the sensing path.

Why your correction will not stick

This is the same trap as darkness settings, and it wastes the same amount of time.

Offsets can be set in three places: on the printer, in the driver, and inside the label format itself. A value carried in the label format generally overrides what you set on the panel, so the operator adjusts the printer, prints, and watches it revert.

Decide where settings live and be consistent. Putting media-specific values in the template means the same template misbehaves on a printer with different media. Putting them on the printer means a replacement printer needs configuring before it works. Pick one, document it, and do not mix.

Check the template against the media

Before adjusting anything, confirm the template was designed for the label you are loading. A 4 by 6 inch template on 4 by 4 inch stock will print off the label and no offset will rescue it.

Also confirm the print resolution matches. A template built for 300 dpi sent to a 203 dpi printer, or the reverse, produces content at the wrong physical size even though every measurement in the design looks correct. Our guide on barcode label design covers matching design to printer capability.

When it is the hardware

Rare, but real. A worn or adhesive-caked platen roller slips and under-feeds. A failing sensor reads inconsistently. A damaged media guide lets the roll wander. If calibration is clean, the template is right, and drift persists across more than one media roll, inspect the platen and sensor rather than continuing to adjust numbers. Common questions

Why is my print position drifting down the roll?

Progressive drift means the printer's idea of label length does not match reality, so a small error accumulates with every label. The usual causes are calibration never run against this media, a label length set manually in the template and slightly wrong, sensing set to continuous so the printer feeds a fixed length instead of detecting each label, or a slipping platen roller. Recalibrate against the loaded media first.

What is the difference between gap and black mark sensing?

Gap sensing shines light through the web and detects the gap between die-cut labels, which suits standard label stock. Black mark sensing looks for a printed mark, usually on the underside of the liner, and is used for continuous stock, tags, and media where a gap cannot be detected reliably. The printer must be set to the method your media uses, and on many industrial machines the sensor must also be physically positioned in line with the gap or mark.

I adjusted the offset and it reset on the next job. Why?

Because the label format is setting it. Offsets can live on the printer, in the driver, or inside the label format itself, and a value carried in the format generally overrides the panel setting on every job. If panel changes do not survive, put the correction in the template instead. Decide where settings live as a policy and keep to it, because mixing the two makes every future fault harder to diagnose.

The label tears in the wrong place but the print looks right. Which setting?

Tear-off, cut or peel offset, not top of form. Those two settings do different jobs: top of form moves the printed image relative to the label, while the tear, cut or peel offset moves where the media stops after printing. Confusing them is common and sends people in circles, because adjusting top of form to fix a tear position simply misplaces the print as well.

Calibration keeps failing. What should I check?

The printer is not seeing the gap or mark. Check three things in order: that the sensing method matches the media you loaded, that the sensor is physically in line with where the gap or mark passes rather than parked in the middle of the web, and that the sensor window is clean. Adhesive residue and paper dust on the sensor are very common and produce exactly this symptom.

Could the wrong print resolution cause misalignment?

Yes, and it is easy to miss because the design looks correct on screen. A template built for 300 dpi sent to a 203 dpi printer, or the reverse, renders content at the wrong physical size even though every measurement in the file is right. Content then overruns the label or sits undersized in a corner. Confirm the template resolution matches the printer before adjusting any offsets.
