Multi-Site POS Hardware Rollout: Planning It Properly
Rolling out POS hardware across many sites fails for logistical reasons far more often than technical ones. The hardware works; the rollout is what goes wrong.
Pilot before you commit
The step most often skipped under time pressure, and the one that prevents the expensive failures.
Deploy to two or three sites first, chosen to be genuinely representative rather than convenient — include a busy site and an awkward one, not just the two nearest head office.
Run them through a full trading period, including a peak. Problems that appear at volume do not appear in a test.
What a pilot surfaces: receipt template problems, integration edge cases, staff workflow issues, and physical fit at the counter. Each of those is trivial to fix across three sites and expensive across a hundred.
The template problem
The most common and most avoidable rollout surprise.
Counter printers are usually 80 mm wide. Mobile printers are commonly 58 mm. Receipt templates are not interchangeable between them.
An operation deploying counter printers and mobile printers together needs both templates working before the fleet arrives, not after. This is discovered at the worst possible moment with remarkable regularity.
Check it in the pilot, deliberately, with real receipts including the longest ones you produce.
Connectivity decides deployment cost
This is where per-site cost is actually determined.
Conventional printing requires something installed on site — a driver, a print server, middleware. Across a hundred sites that means a technician visit each, plus an ongoing support burden, plus something that breaks when a workstation is replaced.
Cloud printing changes the arithmetic. ePOS-Print XML and CloudPRNT let the printer pull jobs from a web endpoint with nothing installed locally. The printer needs an IP address and network access.

Ethernet-connected printers are also easier to manage than USB ones, because they are not tied to a specific workstation.
Standardise, and buy spares of one thing
A chain accumulating different models per site ends up with several spares pools, several sets of staff instructions and several integration variants.
Standardising on one counter printer, one mobile printer and one scanner across the estate means one spare of each covers everywhere, one template set, and one set of training material.
This is the same argument as standardising network hardware, and it is frequently why buying a discontinued model refurbished beats buying a current one new — matching the estate is worth more than being current.
Hold central spares rather than one per site. A courier the next morning is usually acceptable, and it is far cheaper than a hundred idle units.
Cutter rating decides the refresh cycle
The specification that determines how often you do this again.
The cutter fails long before the printhead in nearly every retail deployment, and a jam mid-transaction stops a lane.
Run the arithmetic per site: receipts per day, times trading days, times the years you expect the printer to last. Compare that against the cutter rating.
A cheaper printer that reaches end of life in two years, across a hundred sites, is considerably more expensive than a better one that lasts a decade — once you count the replacement cost, the downtime, and doing the whole rollout again.
Physical and practical details
Counter space. Measure at a real site, including the awkward one. A printer that fits at head office may not fit at the site with the narrow counter.
Spill resistance. Counter printers live near drinks. In bars and cafes this affects service life directly.
Paper loading. Drop-in loading is faster than threading, which matters at peak with a queue waiting and a member of staff who has done it twice.
Cash drawer connectors. Confirm the connector matches the drawers already in place, particularly across sites fitted at different times.
Consumables. Standardise paper roll size across the estate so ordering is one line item rather than several.
Staged rollout
Once the pilot is clean, deploy in waves rather than all at once.
Waves let you fix what the pilot missed before it affects everyone, and they spread the support load so the first day of each wave is manageable.
Three things to prepare before wave one: a short written procedure for the site, including how to load paper and what to do if it stops; a named contact for problems; and the old hardware retained until the new is proven, not removed the same day.
On the old hardware — if any of it is compatible with equipment you are keeping elsewhere, it is the cheapest spares source available.
