POS Receipt Printer Buying Guide: Thermal vs Impact and What Lasts

POS printers are bought on price and print speed. Neither is what determines whether the printer is still working in five years, or whether it stops a lane mid-transaction.

This guide covers the specifications that actually decide a POS printer purchase, and where each type belongs.

Thermal or impact: not a preference

This is the first decision and it is settled by physics rather than by budget.

Thermal printers use heat-sensitive paper and no ribbon. Fast, quiet, no consumables beyond paper. Correct for front-of-house receipts.

Impact printers strike a ribbon against the paper, mechanically. Slower and noisier, and they do two things thermal cannot.

The first is heat tolerance. Thermal paper reacts to heat — that is how it works. A ticket hanging above a grill or a hot pass darkens and becomes unreadable, sometimes within a single service, and grease and steam accelerate it. This is why kitchen printers are impact and it is not negotiable.

The second is carbon copies. Impact printing produces genuine multi-part copies for delivery notes, work orders and anything needing a physical duplicate.

Most restaurants run both deliberately: thermal at the counter, impact in the kitchen. Both speak ESC/POS, so one POS system drives them together. See the Epson TM-U220 and Bixolon SRP-275III.

The number that predicts cost: cutter rating

Buyers compare print speed. Integrators compare cutter life, because the cutter fails long before the printhead in nearly every real deployment, and a jam mid-transaction stops a lane.

Cutter ratings are quoted in cuts. At 2 million cuts, a site producing five hundred receipts a day takes over a decade to reach the rating. A cheaper printer rated far lower may reach end of life in two years in the same lane.

Run the arithmetic before comparing prices: receipts per day, times operating days, times the years you expect the printer to last. If that number exceeds the cutter rating, the cheaper printer is the more expensive option once downtime and replacement are counted.

Also check whether the auto cutter is standard or a paid option — on some models it is an extra that closes the price gap entirely.

Print speed: where it matters and where it does not

Speed is the headline specification and it matters less than the marketing suggests, with one exception.

In a quiet cafe or a boutique, the difference between a fast and a very fast printer is invisible — the customer is putting away a card while the receipt prints either way.

In a high-volume grocery lane at peak, it is real. Receipts are longer, throughput is higher, and printing genuinely sits in the critical path. That is where a printer like the Epson TM-T88VII at 500 mm/sec has headroom worth paying for.

The honest guidance: if queues form at your busiest hour and receipts are long, buy speed. Otherwise buy cutter rating and connectivity instead.

Connectivity decides the deployment cost

This is the specification that most affects total cost across a multi-site rollout, and it is rarely compared.

USB is simplest for a single till with a local computer. It also ties the printer to that machine.

Ethernet lets the printer sit on the network with its own address, shared by multiple tills and reachable for management. On a chain, this is usually what you want.

Bluetooth suits tablet-based POS and mobile use, but check for MFi certification if iPads are involved. Without it the printer either will not pair with iOS or relies on a workaround that breaks at the next update.

Check whether the interfaces you need are standard or optional. Some printers include USB and Ethernet as standard, where others charge for the Ethernet module — a difference that changes the comparison.

Cloud POS changes the printing architecture

If you run Square, Shopify POS, Lightspeed, Toast or any browser-based till, this matters more than any other specification.

Conventional printing requires something installed on site — a driver, a print server, a piece of middleware. For a chain opening locations, that means a technician visit per site and an ongoing support burden, and that middleware layer is what causes most online-order printing failures.

ePOS-Print XML and CloudPRNT let the printer pull jobs from a web endpoint directly, with nothing installed locally. The printer has an IP address and fetches what it needs.

Mobile printers: moving the point of sale

A separate category solving a workflow problem rather than a printing one.

Mobile receipt printers let you take payment at the table, clear a queue from the back at peak, or print proof of delivery at the door. The justification is throughput and customer experience rather than print quality.

Two specifications matter. MFi certification again, if the workflow uses iPads. And paper width — mobile printers are commonly 58 mm where counter printers are 80 mm, so your receipt template needs reworking before a fleet arrives. Check this early; it is a common and annoying surprise.

Command language: check before you order

ESC/POS is the de facto standard for receipt printing. POS software, restaurant systems, retail tills and payment terminals are built around it, so an ESC/POS printer connects to most platforms without custom development.

Non-Epson printers frequently offer ESC/POS emulation, which means they drop into an existing installation without touching the host system. That matters when replacing a failed unit — emulation turns it into a same-day swap rather than a software change.

When replacing a printer, the safest question is not what specifications you need but what did the old one speak.

Practical details that get missed

Paper width. 80 mm is standard for counter printers, 58 mm common for mobile. Templates are not interchangeable.

Cash drawer port. Most POS printers drive the drawer. Confirm the connector matches your drawer.

Spill resistance. Counter printers live near drinks. A vertical or splash-resistant design lasts longer in a bar or cafe.

Paper loading. Drop-in loading is faster than threading, which matters at peak with a queue waiting.

Footprint. Counter space is finite. Measure before ordering, particularly for a fleet.

A short checklist

Front of house or kitchen — thermal or impact. Receipts per day, to size the cutter rating. Do queues form at peak, to decide whether speed matters. What POS platform, and is it browser-based. USB, Ethernet or Bluetooth, and is iOS involved. What command language does the existing setup use. And what paper width are your templates built for.

Those seven answers narrow the field quickly, and price then chooses between the models that fit.
