Packing and Shipping IT Hardware Without Damaging It
Hardware damaged in transit is damaged for reasons that were preventable, and the damage is frequently invisible on arrival. Packing well takes a few minutes and prevents an argument nobody wins.
The forces that cause damage
Three, and packing addresses them differently.
Shock β a drop or impact. Addressed by cushioning and by keeping the item away from the outside of the box.
Vibration β sustained on any journey. Addressed by preventing movement inside the packaging, because an item that can shift will shift for hours.
Static β from handling and from packaging materials themselves. Addressed by using anti-static bags rather than ordinary plastic.
That third one matters more than people think: ordinary plastic bags and bubble wrap generate static. Wrapping a bare circuit board in household bubble wrap is worse than useless. Our ESD guide covers why the resulting damage is usually latent rather than immediate.
Drives need the most care
They are the most shock-sensitive thing you will ship and the most commonly shipped.
Anti-static bag first, always.
Suspended, not just padded. The drive should not touch any outer surface β the aim is that an impact on the box does not transmit directly to the drive.
Never loose in a padded envelope. This is the single most common way drives arrive damaged, and an envelope offers essentially no protection against a drop.
Individually, if several. Drives packed together knock against each other for the whole journey.
The original packaging is designed for exactly this, which is why it is worth keeping. Where you have a spare drive on the shelf, leaving it in its packaging until needed is both storage and shipping preparation.
Mechanical drives are more shock-sensitive than SSDs, but treat both carefully β and note that a drive damaged in transit frequently works initially and fails later, which is how a transit problem becomes a warranty argument months on.
Servers and larger equipment
Four points.
Remove what can move. Drives and expansion cards are better shipped separately or secured, because a card working loose in transit can damage the slot. Record what came out and from where β photograph it.
Support the weight properly. A server is heavy and concentrated, and a box that would hold its volume will not necessarily hold its weight. Double-walled cartons and adequate closure matter.
Fit rails and bezels separately where they would be loose otherwise.
Mark it as heavy, honestly. Handlers treat packages according to what they are told.

Printers and devices with consumables
A category with its own failure mode.
Remove media and ribbon before shipping. Media left in a printer can shift and damage the printhead, which is the most expensive part in the machine β our printer spares guide covers why.
Secure moving assemblies where the printer provides transit locks, and use them.
Batteries need particular handling. Devices containing lithium batteries are subject to shipping regulations that vary by carrier and destination, and getting it wrong can mean a refused or confiscated shipment. Our battery guide covers the requirements.
Documentation and evidence
The part that decides who pays when something arrives damaged.
Photograph before packing β the item, its condition, its serial number.
Photograph the packed box before it is collected.
Record what is inside, including anything removed and shipped separately.
Photograph on arrival before unpacking if the box looks damaged, and keep the packaging until the item is confirmed working.

Returns specifically
Three habits that make a return go smoothly.
Get the authorisation first and mark it clearly on the outside. An unmarked return can sit unidentified in a goods-in area.
Sanitise data-bearing devices before they leave, or establish that the process permits otherwise. Our sanitisation guide covers doing this properly, and a drive going back to a supplier is a drive leaving your control.
Include everything that came with it β carriers, brackets, cables. A return missing accessories is frequently treated as incomplete.
Common questions
Can I ship a drive in a padded envelope?
No β it is the single most common way drives arrive damaged. An envelope offers essentially no protection against a drop. Use an anti-static bag, suspend the drive so it touches no outer surface, and pack drives individually.
Is bubble wrap enough?
Not for bare electronics. Ordinary plastic and bubble wrap generate static, so wrapping a bare circuit board in household bubble wrap is worse than useless. Anti-static bag first, then cushioning around it.
Should I ship a server fully populated?
Better not. Drives and expansion cards should be removed and shipped separately or secured, since a card working loose in transit can damage the slot. Photograph what came out and from where before you start.
What should I do before shipping a printer?
