Warranty and RMA Claims: Making Them Go Smoothly
Most returns that go badly go badly for avoidable reasons: the part was not faulty, the fault was not described in a way anyone could act on, or the data on it left the building without being handled. All three are fixable before the part is boxed.
First, establish that it is actually faulty
A meaningful share of parts returned as faulty are working units that failed for a different reason. That is not carelessness — the symptoms are genuinely identical.
Drives. A drive that is not detected is usually a carrier generation mismatch, an interface incompatibility, a firmware rejection or a controller state such as foreign configuration — not a failure. Our troubleshooting guide works through these in order.
Printheads. Faint or patchy printing is usually a contaminated print line, unsuitable media or a darkness setting. Only a thin unprinted line in the same position on every label is definitely a dead element. Our printhead guide covers the three checks worth doing first.
Scanners. A scanner that reads some codes but not others usually has a symbology disabled, or optics that cannot resolve codes that fine. Our scanning guide covers the sequence.
Servers that will not post. Power supply, memory, processor seating and expansion cards all produce this and all fail more often than a system board.
Ten minutes of checking frequently saves a return that would not have fixed the problem anyway — and if it does turn out to be faulty, you now have a much better fault description.
Handle the data before the part leaves
The obligation most often missed on warranty returns, and it is yours rather than the supplier’s.
A failed drive still contains data. Returning it means it leaves your control with that data on it.
If the drive still responds, sanitise it before returning — the drive’s own sanitise command or cryptographic erase, not overwriting on flash. If it does not respond, it cannot be sanitised, and the options narrow to destroying it or negotiating a keep-your-drive arrangement. Our sanitisation guide covers the detail.
Worth checking now rather than at the moment of failure: does your support contract include keep-your-drive? Many organisations add it specifically so failed media never leaves.
This applies beyond drives — management controllers hold credentials and configuration, and cache modules can hold data.
Describe the fault usefully
The difference between a claim processed immediately and one that generates three days of questions.
Useful descriptions include what the part is (part number and serial), what it does, what it should do, when the fault started, whether it is intermittent or constant, and what you have already ruled out.
"Drive not working" tells nobody anything. "Drive 90Y8782, serial X, detected by the controller but marked failed after approximately two hours of load, reseated and tested in a second bay with the same result" is actionable, and it also demonstrates the checks were done.
Include the controller or system log entries if you have them — those frequently identify the failure directly and remove any argument about whether the part is faulty.
Know the terms before you need them
Four things worth establishing at purchase rather than at failure.
The window. How long, and from what date — dispatch, delivery or installation. Ours is 30 days for both warranty and returns, with no restocking fees. Others vary considerably, and some charge restocking on non-faulty returns.
What is covered. Functional failure is standard. Cosmetic condition, compatibility with your system, and consequential losses generally are not.
Advance replacement or return first. Whether a replacement ships before the faulty part arrives back matters enormously when a production system is down.

Packing
Damage in transit converts a warranty claim into a dispute, and it is entirely avoidable.
Enterprise components are sensitive to static and to shock. Use antistatic packaging — the bag the replacement arrived in is ideal. Pack so the item cannot move inside the box, and use a box rather than a padded envelope for anything rigid.
Include the returns reference inside the box as well as on the label, since labels come off.
Photograph the part and the packed box before sealing. This takes seconds and settles any question about condition on dispatch.
Records
Keep the serial number, the date, the fault description and the reference. Three reasons.
It makes following up straightforward. It makes patterns visible — several failures of the same part from the same batch is information worth having. And it keeps your asset records accurate, which matters at audit and when planning spares.
If a replacement arrives with a different serial, update the record. An asset register that has drifted from reality is worse than one with acknowledged gaps.
