Peak Season Hardware Preparation: What to Check First
Peak season exposes every marginal thing at once. Equipment that coped at normal volume fails, wireless that seemed adequate becomes unusable, and consumables run out because the reorder point was set in a quiet month.
None of that is a surprise, which is why it can be prepared for.
Start early enough to act on what you find
The most common preparation failure is timing.
Checks done a fortnight before peak surface problems that cannot be fixed in a fortnight — parts with lead times, wireless coverage work, additional circuits, or hardware that needs ordering and testing.
Work backwards from peak by your actual lead time for the slowest thing you might need. On discontinued platforms that can be weeks.
The useful question is not "is everything working" but "what is closest to a limit, and what would it take to fix it".
Consumables run out first
The most common and most avoidable peak failure.
Peak volumes can double or triple label, receipt and ribbon consumption. A reorder point calculated from quiet-period usage will not survive it, and suppliers are busier too, so lead times stretch exactly when you need them shortest.
Recalculate reorder points against peak consumption, not annual average. Order ahead rather than relying on replenishment during the peak. And check the specification is right before bulk ordering — a large quantity of media that turns out to be the wrong core size or winding direction is worse than none.

Consumable-driven hardware failures cluster at peak
Because the components that wear are worked hardest exactly when you can least afford it.
Printheads reach end of life in linear metres printed, so peak volume accelerates arrival. A spare per printer resolution converts a stoppage into a swap.

Check printhead life counters, cutter counts where reported, and battery health across the fleet before peak rather than during.
Clean and calibrate before, not during
Half an hour that prevents most peak print failures.
Print quality degrades gradually, and nobody notices because each day’s labels look like yesterday’s. Peak is when a marginal printer tips into failing scans.
Before peak: clean the print line and platen on every printer, clean sensors and run media calibration, inspect platens for glazing or flat spots, and check print quality against what your scanners — and your customers’ scanners — can read. Wireless is the thing that surprises people
Peak changes the wireless environment in two ways at once.
Client density rises. More devices, more staff, more simultaneous connections. Earlier Wi-Fi generations handle density poorly, producing slow scans and dropped sessions that get blamed on the devices.
The building fills up. Racking full of dense goods absorbs signal heavily, and the same aisle empty behaves completely differently. A coverage survey conducted in a quiet period does not describe peak.

Spares, and where they sit
Peak is when a failure costs the most and when suppliers are slowest.
Hold, at minimum: a printhead per printer resolution, a spare scanner of the same model and optics variant since optics cannot be substituted, spare batteries, a POS printer if lanes depend on them, and drives matching what is in production systems.
Two practical points. Keep spare devices configured and charged rather than boxed — a spare needing an hour of setup is not a spare during peak. And for multi-site operations, decide in advance whether spares sit centrally with courier delivery or at each site.
Check the infrastructure headroom
Three things that fail quietly under sustained load.
Storage capacity. Peak generates more transactions, more images, more logs. A volume comfortable in a quiet month can fill during peak, and performance degrades before capacity runs out. Our capacity guide covers forecasting.

And afterwards
The window most operations waste.
Immediately after peak, while it is fresh: note what nearly failed, what ran out, what staff complained about, and what you would order earlier next time. Replace consumables and spares consumed during peak. And do the maintenance that was deferred.
That half hour is what makes next year’s preparation accurate rather than guessed.
