Hospitality Hardware: Kitchen, Counter and Table Service

Hospitality runs hardware in three quite different environments within the same building, and specifying one printer type for all of them is the most common and most expensive mistake in the sector.

The kitchen is not a printing problem, it is a heat problem

The decision that cannot be worked around.

Thermal paper reacts to heat — that is how it prints. A ticket hanging above a grill or on a hot pass darkens and becomes unreadable, sometimes within a single service, and grease and steam accelerate it.

That is why kitchen printers are impact rather than thermal. An impact printer strikes a ribbon against the paper mechanically, so ambient heat does not affect the printed ticket at all.

Impact printing also produces genuine multi-part copies, which matters where a ticket needs to travel with the dish or a duplicate stays on the rail.

Front of house

Thermal here, because it is fast, quiet and has no ribbon to manage. The receipt is read within minutes and thrown away, so permanence is irrelevant.

Three specifications that matter more than print speed in most venues.

Cutter rating decides lifespan. The cutter fails long before the printhead, and a jam mid-service stops a till. Multiply covers per day by trading days by the years you expect it to last and compare against the rating. Our POS printer guide covers the arithmetic.

Spill resistance. A counter printer in a bar or cafe lives among drinks, and this affects service life directly. Vertical or splash-resistant designs last considerably longer in those positions.

Drop-in paper loading rather than threading. At peak, with a queue, loaded by a staff member who has done it twice, this is a real difference.

Print speed genuinely matters in a high-volume quick-service operation with long receipts. In a restaurant where the bill arrives at the end of a meal, it does not.

Table service and mobile printing

The workflow change that justifies mobile hardware.

Taking payment at the table removes the walk to a terminal and back, twice per table. Across a busy service that is meaningful time, and it changes the customer experience at the end of a meal.

Two specifications decide whether it works.

MFi certification if the venue runs iPads — without it the printer either will not pair with iOS or relies on a workaround that breaks at the next update.

Paper width. Mobile printers are commonly 58 mm where counter printers are 80 mm, so the receipt template needs reworking. Check this before ordering a fleet. See the Epson TM-P20II and Star Micronics SM-S230i.

Online orders are where printing breaks

The failure that costs the most and gets diagnosed the slowest.

Delivery platform and online orders reach the kitchen through some path, and when that path fails the orders arrive and nothing prints. Staff discover it when a customer calls.

Conventional printing requires something installed on site — a driver, a print server, or middleware — and that middleware layer is what fails.

Labelling in hospitality

Increasingly required and frequently under-specified.

Allergen and date labels on prepared food need to survive refrigeration and handling. Direct thermal fades and paper absorbs moisture, so labels going into chilled storage need appropriate media and adhesive that bonds cold. Our cold chain guide covers the adhesive distinction.

Delivery and takeaway labels identify orders and travel with the bag. Short-lived, so direct thermal is fine.

Rolling out across venues

For groups, the same principles that apply to retail rollouts.

Pilot at two or three genuinely representative venues including a busy one, through a full service. Standardise on one thermal, one impact and one mobile printer so a single spare of each covers the estate. Hold central spares rather than one per venue. And check counter space at a real site — a printer that fits at the flagship may not fit at the small one.
