Shipping Label Compliance: Getting It Right First Time

A shipping label that fails at a carrier or a retailer does not cost you a reprint. It costs a rejected delivery, a chargeback, or a pallet sitting in a yard while someone works out what is wrong. The label is the cheapest part of the shipment and the one that stops it.

Two different sets of requirements

Worth separating because they are frequently confused.

Carrier labels are generated by the carrier’s system or by shipping software integrated with it. The format, barcode content and layout are defined by the carrier, and you are printing what they specify rather than designing anything.

Retailer and trading partner labels are defined by the receiving organisation. These are where compliance requirements bite, because a large retailer specifies exactly what must appear, in what symbology, at what quality, in what position on the carton.

The first is mostly a printing problem. The second is a specification problem that has to be solved before the first shipment.

Why GS1 standards appear here

Trading partner labels almost always specify GS1 formats, and the reason is structural.

GS1-128 uses Code 128 encoding with application identifiers — standardised prefixes declaring what each piece of data means. A GTIN, a batch number, an expiry date, a serial, a weight, a shipment reference, each identified rather than assumed.

Because the meaning is declared, any GS1-aware system can parse the label without prior agreement about the format. That is what makes it work between companies that have never spoken to each other, and it is why retailers mandate it rather than accepting whatever you already print.

Get the specification before designing

The most common and most expensive mistake is designing a label and then checking whether it complies.

Ask the trading partner for their labelling specification document. Most large retailers publish one. It will state the required symbology, the data elements and their application identifiers, the label size, the minimum print quality grade, the placement on the carton, and frequently the required human-readable text.

Three things people miss in those documents.

Placement. Position on the carton, height from the base, and which faces need labels. Automated receiving systems read at fixed positions, so a correct label in the wrong place fails.

Print quality grade. Frequently specified as a minimum, and it is measurable. "It scanned here" is not evidence — see our verification guide.

Label durability. Whether labels must survive the journey, cold storage, or outdoor handling. This determines media, not printer.

Media: usually the failure point

Shipping labels are frequently the one place direct thermal is correct, and there are exceptions worth knowing.

Direct thermal is fine for a label read within days, in normal conditions. Cheaper, no ribbon, simpler operation.

Thermal transfer is needed where the shipment sits for weeks, travels through heat, or is exposed to sunlight in a yard. Direct thermal fades under heat and light, and a pallet in a sunny loading area can degrade faster than expected.

Two adhesive situations cause most "labels fell off" complaints.

Cold. Labels applied to cold cartons, or applied warm and then chilled, need freezer-grade adhesive. Standard adhesive fails silently in cold chain.

Corrugated and textured surfaces. Rough cardboard needs high-tack adhesive. This is a frequent problem with recycled corrugate, which has a rougher surface than people expect.

Printer specification

Shipping labels are usually 4 inches wide, which most industrial and desktop label printers handle.

Resolution. 203 dpi is generally sufficient for standard shipping labels, since the barcodes are relatively large. 300 dpi becomes necessary if the specification requires small dense codes alongside the shipping barcode.

Volume decides the class. A shipping bay running continuously through a shift is an industrial application — metal chassis, high printhead duty rating, large media capacity. An operation shipping a few dozen a day is not. Our printer class guide covers where the line falls.

Command language. Shipping and warehouse systems overwhelmingly output ZPL. A printer that speaks ZPL or offers ZPL emulation drops into an existing integration; one that does not means changing how your system generates labels. Our command language guide covers this.

When replacing a shipping printer, the safest question is not what specifications you need but what the old one spoke.

Keep a spare printhead

Specific to shipping because the consequence is unusual.

A failed printhead in a shipping bay stops dispatch. Not slows it — stops it, because you cannot ship without labels and hand-writing is not an option for carrier barcodes.

The head costs the same bought now or in an emergency, and a spare converts an outage into a fifteen-minute swap. Match the resolution, since 203, 300 and 600 dpi variants take different part numbers. Our printhead guide covers diagnosis before replacement.

Before the first compliant shipment

Obtain the specification document. Confirm symbology and application identifiers with the receiving system, not just visually. Check print quality against the required grade rather than by scanning. Confirm placement on the carton. Verify media survives the journey conditions. And where possible, send a test shipment or sample labels for approval before committing to volume.

That sequence costs a few days once. A rejected delivery costs considerably more, repeatedly.

Common questions
