Packing and Shipping Enterprise Hardware Without Damage
Most hardware damaged in transit was packed badly, not handled badly. This covers packing enterprise equipment so it arrives working, and what to do when it does not.
Why enterprise hardware is easy to damage
Three reasons people underestimate.
Servers are heavy and the weight is uneven. A chassis with drives and supplies at one end drops differently than a uniform box, and the mounting points inside take that force.
Drives are sensitive to shock while stationary. A drop that seems minor can damage heads or cause latent problems that appear weeks later.
Boards flex. A motherboard or expansion card bent slightly in transit can develop faults that pass initial testing and fail later.
The damage is frequently invisible on arrival, which is why the receiving checks below matter.
Packing drives
Four rules.
Anti-static bag first. Not bubble wrap directly against the drive β bubble wrap generates static.
Individually wrapped, then separated. Drives touching each other in a box transmit shock to one another.
Suspended, not resting. The drive should not touch any wall of the outer box. Foam or substantial padding on all six sides.
Rigid outer box. A padded envelope is not packaging for a drive, regardless of how much padding is inside it.

Packing servers
Five points.
Remove what can move. Drives, and where practical the power supplies. Pack them separately. A drive that comes loose inside a chassis in transit damages everything it hits.
Original packaging if you have it. Server packaging is engineered with moulded inserts that hold the chassis away from every surface, and nothing improvised matches it.
Double-box without it. The chassis in a box, that box suspended in a larger one with substantial padding on all sides.
Fill every void. Movement inside the box is what causes damage. A tightly packed box that does not shift survives handling that a loose one does not.
Palletise anything heavy. Above a certain weight, a box is handled by machinery rather than a person, and it needs to sit on a pallet and be strapped.
Labelling and documentation
Three things.
Mark it fragile and this way up, and accept that this influences handling rather than guaranteeing it.
Photograph before sealing. Contents, condition and packing arrangement. This is your evidence if a claim becomes necessary.
List the contents on the outside, including serials where valuable. It helps at the receiving end and it helps a claim.
Insurance and claims
The part people discover too late.
Standard carrier liability is low and is calculated by weight rather than value. A server worth a great deal is covered for very little unless declared and insured separately.
Claims need evidence. Photographs of the packaging on arrival, the damage, and the item. This is why receiving procedure matters.
Time limits are short. Damage claims frequently must be raised within days, which means inspecting on arrival rather than when you get round to installing it.
Receiving: what to do before the box is fully opened
Four steps, and they take minutes.
Photograph the box before opening, particularly if it shows damage.
Note damage on the delivery paperwork before signing. Signing clean for a visibly damaged box weakens a claim considerably.
Open and inspect promptly, within the claim window rather than when convenient.
