Comparing Hardware Quotes: Why the Cheapest Total Misleads
Two quotes for the same thing frequently are not for the same thing. This covers making them comparable before comparing them.
Why totals mislead
A lower total can mean a better price, or it can mean something is missing, in worse condition, or covered by a shorter warranty.
Compare per line, not by total. If a quote is cheaper overall, find out which line accounts for the difference. That answer is usually the whole story.
The six things that make quotes incomparable
Condition. New, new pull, manufacturer recertified and reseller refurbished are four different things at four price points. Our condition guide covers what each means.
Warranty length and who honours it. Thirty days from a reseller and a year from a manufacturer are not the same cover.
What is included. A drive with a carrier against one without. A server with rails against one without. A scanner with its cable against one without. These omissions are where price differences hide.

Lead time. In stock and six weeks out are not comparable if you need it in two.
Shipping, duties and taxes. Particularly on cross-border purchases, where the landed cost can differ substantially from the quoted one.
Ask every supplier the same thing

Where a supplier proposes an alternative part, that is frequently useful β but it makes the quote non-comparable, so evaluate it separately rather than mixing it into the comparison.
The questions that reveal the difference

What condition, exactly? "Refurbished" is a word, not a specification.

What is included in the box? Ask explicitly about carriers, rails, cables and licences.
What is the lead time, and is it stock or sourced?
A supplier who answers all five without hesitation is telling you something about how they operate. One who cannot is also telling you something.
Price validity
Worth asking explicitly.

When cheapest is right, and when it is not
Cheapest is right where the specification genuinely matches, the condition suits the role, and the warranty is adequate for the consequence. That is a real saving and worth taking.
Cheapest is wrong where the difference is in something you will need β a carrier you will have to buy separately, a warranty that will not cover a failure you cannot afford, or a lead time that misses your deadline.
The useful frame: what does the cheaper quote not include, and what will that cost? If the answer is nothing, take it.
