Museum Collections Hardware: Labelling Without Touching
Museum collections are tracked for centuries, not years, and the objects themselves cannot be altered to make tracking convenient. That constraint shapes every hardware decision.
The object comes first
The principle that separates this from every other tracking application.
In a warehouse, you label the item. In a collection, the object frequently cannot be labelled at all β adhesives can damage surfaces, migrate into materials, or be impossible to remove later without harm.
That pushes identification onto what surrounds the object.
Storage containers, boxes and mounts carry the label rather than the object.
Location labelling on shelving, racking and drawers, so an object is found by where it is rather than by reading something attached to it.
Tie-on tags where something must travel with the object without adhering to it.
Where anything is applied near or to an object, adhesive interaction is a conservation question rather than a labelling one, and it belongs with a conservator rather than a hardware supplier. We can specify media that lasts; whether a given adhesive is appropriate for a specific object is not our call to make.
Retention is measured in decades
Which rules out most ordinary labelling immediately.
Direct thermal is unusable. It fades within months under heat and light. A store label that has faded means an object whose identity now depends entirely on a paper record. Our media guide covers the distinction.

Environmental conditions matter too. Stores are frequently climate-controlled, and labels that will sit in cool, humid conditions for years behave differently from labels in an office.
Condition reporting is the recurring task
And it is what makes this a device requirement rather than a scanner one.
Objects are assessed on acquisition, before and after display, before and after loan, and periodically in store. Each assessment records condition and, increasingly, photographs.
Photographs of the same views across assessments, so changes are comparable rather than described.
Structured condition fields rather than free text, so records are consistent across people and decades.
Camera quality matters, in stores and galleries with deliberately low lighting.

Loans and movements
Where a collection record is most exposed.
Objects go out on loan, to conservation, to photography, to display and back. Each movement is a point where the record can break.
Three practices.
Scan at every transfer, rather than recording afterwards. A scan is evidence the object was present; a typed reference is evidence someone typed a reference.
Capture condition at both ends of a loan, with comparable photographs. Damage discovered on return is disputed unless there is evidence of condition at departure β the same logic our rental guide covers.
Record who, when and where automatically rather than by entry.
Working conditions in stores and galleries
Four practical constraints that affect device choice.
Low light. Deliberately so, for conservation reasons. That affects photography and marginal scans.
Quiet. Scanner beep volume that suits a warehouse is wrong in a gallery. Check it is adjustable.
Gloves. Worn for handling, which affects touchscreen response considerably between devices.
Awkward positions. Objects in high racking, deep shelving and drawers, read one-handed while the other hand supports something. Compact devices suit this better than full-size handhelds.
Coverage in basements, stores and thick-walled historic buildings is frequently poor, so offline capture with upload on reconnection matters β and it should preserve the true time of the record rather than the upload time.
Where RFID fits
Two genuine cases, and one clear limit.
Locating objects in dense storage without handling them, which for a large collection is the difference between an audit that happens and one that does not.
Exit and boundary monitoring, detecting an object leaving an area it should not.
The limit: tags still have to go somewhere, and the object frequently cannot carry one. Tagging containers and mounts works; tagging objects may not be acceptable. Specifying for a collection
Can objects carry a label, or must identification sit on containers and locations. How long must labels remain legible β and the honest answer is usually decades. What conditions do stores hold. Is condition photography part of the workflow. Are gloves worn and is quiet required. And is there coverage in the stores, or must the device work offline.
The first two answers decide most of the specification, and they are the ones worth settling with a conservator before buying anything.
