Presentation Barcode Scanners for the Counter

A presentation scanner exists to remove one motion from every transaction. The operator does not reach for a scanner, aim it at the label, wait for the beep and put it back down. They move the item past a device that is already switched on, already aimed and already in the right place. That is the whole idea, and everything else in this category is detail around it.

Whether that saved motion is worth buying depends entirely on how many transactions you process at your busiest hour. On a queue that runs all day it compounds into real capacity. On a counter that serves twenty people a day it is worth very little, and a corded handheld will serve you better for less disruption. The honest test is transactions per hour at peak, not the specification sheet.

What you are actually buying

Count the motions in one scan with a handheld. Pick up, orient, aim, trigger, wait, set down. Now count them with a presentation unit on the counter. Lift the item, pass it over the window, put it in the bag. The item was going to be handled anyway, because it has to go from the basket into the bag, so the scan happens inside a motion you were already paying for. That is the saving, and it is the only argument that matters.

The saving is small per transaction and large per shift. At a counter running a queue for six hours, shaving a second or two off every item scanned changes how long the queue is at five o'clock. At a trade counter processing a handful of orders an hour, the same saving is invisible. Before you specify anything, count items scanned per hour at your busiest period, not per day. Daily averages hide the peak, and the peak is the only time the counter is under pressure.

There is a second, quieter benefit. A fixed scanner cannot be dropped, cannot be left on the wrong side of the till and cannot wander off to the stockroom. Handhelds go missing and get damaged; a unit bolted to the counter by its own weight does neither. That is not a reason on its own to buy one, but it shows up in the replacement rate over a few years.

The case against is equally plain. A presentation scanner only helps with items the operator can carry to it. Anything bulky, heavy or already on a trolley has to be brought to the window, and if that happens often the hands-free advantage inverts into a handling problem. That is the single most common reason a presentation scanner disappoints after installation, and it is entirely predictable before you buy.

Omnidirectional is the specification that makes hands-free work

Hands-free scanning only works if the operator does not have to think about which way round the item is. Omnidirectional reading means the imager decodes the symbol at any rotation, so the barcode can arrive sideways, upside down or at any angle in between and still read on the first pass.

Two of the three units here are recorded as omnidirectional: the Honeywell Solaris 7190g and the Datalogic Magellan 3410VSi, both described as 2D omnidirectional area imaging. The Zebra DS9308 is recorded as 2D area imaging in a presentation and handheld design.

If a scanner is not omnidirectional, the operator learns to rotate items until they find the read. That is a new motion, and it is exactly the motion you bought the scanner to remove. Worse, it is an inconsistent motion: some items read instantly, some take two or three attempts, and the operator starts hesitating over every item because they cannot predict which kind they are holding. Hesitation costs more than the rotation itself.

The related point is symbology. All three units here are 2D imagers, which read both linear barcodes and 2D codes such as QR and Data Matrix. If any part of your work involves phone screens, loyalty codes, digital vouchers or 2D product codes, a laser scanner is not a candidate at all. Vertical or on-counter is an ergonomic decision, not a styling one

These devices sit in two physical arrangements, and the difference is about how your counter works rather than how the unit looks.

Vertical countertop. The Honeywell Solaris 7190g is recorded with a vertical countertop design. The window faces the operator at an angle, roughly upright, so items are presented across the face of the device as they travel from one side of the counter to the other. This suits a counter where the operator picks items up, scans and bags: the scan happens mid air, in the arc the hand was already travelling. It also keeps the window off the horizontal surface, which means it collects less of what gets spilled and dropped on a counter.

On-counter, flat. The Datalogic Magellan 3410VSi is recorded as a hands-free on-counter presentation unit. The window sits in or on the counter surface and items pass over it. This suits a counter where goods are slid rather than lifted, where items are heavy enough that lifting them to a vertical window is tiring, and where a conveyor or a flat run of counter already defines the path items take.

The Zebra DS9308 is recorded as a presentation and handheld unit, which normally means a compact device that stands on the counter and can be lifted when needed. It is the flexible option rather than the specialised one.

Choose by watching the counter for ten minutes at a busy time. If staff lift items, a vertical window fits the motion. If they slide them, a flat window does. Getting this wrong does not stop the scanner working; it just means the operator adapts to the device instead of the device fitting the work, and the throughput gain you paid for is smaller than it should have been.

Scales change the purchase entirely

The Datalogic Magellan 3410VSi is recorded with optional integrated scale compatibility. If you weigh anything at the point of sale, loose produce, sweets, hardware fixings, deli goods, this changes the shape of the decision rather than adding a feature to it.

A combined scanner and scale removes a second device from the counter, a second cable from the till, a second thing to configure and a second thing to fail. It also removes a motion: the operator does not move the item from the scale to the scanner or back again. On a counter where a significant proportion of transactions involve weighing, that is a larger saving than anything else discussed here.

The reason this has to be decided before you buy rather than after is that it is not a bolt-on you can add casually later. Scale integration involves the device, the mounting, the till software and, in retail, weights and measures approval for the installation. Working out halfway through the year that you need it means buying the scanner again. Ask the question at specification time even if the answer is no.

When the counter also needs a handheld

The Zebra DS9308 is recorded as both presentation and handheld. That dual role is the answer to the most common failure mode in this category: the item that cannot come to the scanner.

Every counter has some of these. A heavy box, a bulk pack, an item on a trolley, a piece of furniture, something awkward with the label on the bottom. With a fixed-only unit the operator either wrestles the item up to the window or types the code in by hand. Hand keying is slow and it is where transposition errors enter the system.

A unit that lifts out of its stand covers both cases with one device and one cable. If oversized items are more than an occasional event on your counter, that flexibility is worth more than any distance or resolution figure. Weight means the opposite of what it means for handhelds

In handheld scanning, light is good. An operator holding a device for six hours feels every extra ounce, and this is why the corded handhelds we stock are specified where they are: the Zebra DS2208 at 0.35 lbs and the Honeywell Xenon XP 1950g at 0.36 lbs.

On a presentation unit, nobody holds it, so weight does a different job. It keeps the device where you put it. The three units here are recorded at 0.55 lbs for the DS9308, 1.4 lbs for the Solaris 7190g and 1.6 lbs for the Magellan 3410VSi. Under repeated contact from items being passed across the window, and the occasional knock from a basket or an elbow, the heavier units stay put. A very light unit slides, gets nudged out of position and ends up being repositioned several times a shift.

This is one of the few places in hardware buying where the heavier figure is the useful answer rather than a compromise. It also explains why the lightest unit in this group is the one that doubles as a handheld: the DS9308 is light because it is designed to be picked up, and a unit designed to be picked up will move when knocked. Reading distance is the working volume above the window

Reading distance here means the height of the readable zone above the scan window: up to 25 cm on the Zebra DS9308 and the Datalogic Magellan 3410VSi, and up to 28 cm on the Honeywell Solaris 7190g.

That figure decides how careless the operator can afford to be. A generous working volume means an item can be waved through at roughly the right height and roughly the right angle and still read. A short one means the item has to be placed accurately, and accurate placement is slower and more tiring than approximate placement. On a queue, approximate is what you want.

Distance also matters for large items. A big box has to be brought close to a short-range window, which means lifting it higher and holding it steadier. A few extra centimetres of working volume is the difference between passing a box over the counter and manoeuvring it. The contrast with handhelds is instructive. The Honeywell Xenon XP 1950g is specified up to 42 cm and the Zebra DS2208 up to 24 cm, but on a handheld that distance is used to avoid walking to the item. On a presentation unit the same figure is used to avoid precision. Same number, entirely different job.

Minimum resolution: 5 mil is the retail answer

All three presentation units are recorded at a minimum resolution of 5 mil. Minimum resolution is the narrowest bar or module the imager can resolve, measured in thousandths of an inch, and smaller numbers mean the scanner copes with finer, denser codes.

At 5 mil you are comfortably covered for retail product barcodes, carton and case labels, shipping labels, shelf labels and the great majority of 2D codes printed on packaging. This is the standard specification for the category because it is the specification the category needs.

Where 5 mil runs out is genuinely fine dense marking: small electronic components, laboratory and pharmaceutical labels, tightly packed Data Matrix on small parts, or anything where a lot of data has been squeezed onto a label the size of a fingernail. If that describes part of your work, the comparison to make is a finer handheld. The Honeywell Xenon XP 1950g is recorded at 3 mil, and a device at that resolution reads codes a 5 mil unit will not. Note that this is a reason to add a handheld for one workflow, not a reason to abandon the presentation unit for the counter.

Interfaces and what happens on install day

Across these three units the interfaces recorded are USB on all of them, RS-232 on the Zebra DS9308 and the Datalogic Magellan 3410VSi, and keyboard wedge on the DS9308. The DS9308 is also recorded with driver-free USB HID and the 123Scan configuration utility.

Driver-free USB HID is the specification that makes a point of sale install straightforward. The scanner presents itself to the till as a keyboard. Scanned data arrives in whatever field the cursor is sitting in, exactly as if somebody had typed it very quickly, followed by a return. No software is installed on the till, no driver has to be approved by whoever manages your estate, and no application needs to know that a scanner exists. Plug it in, put the cursor in the right field, scan.

That is usually the right choice for a point of sale counter, and it is right for a practical reason as much as a technical one: it means a failed scanner is replaced by unplugging one device and plugging in another, by whoever is on shift, without a call to anyone. On a counter that cannot stop trading, that recovery path is worth more than any feature.

Serial still has a place. RS-232 is required when the till software expects a serial port, when the scanner has to talk to an embedded controller or scale rather than a PC, and in older installations where a working integration is not worth rebuilding. Configuration on these devices is done by scanning programming barcodes from a manual, or through a utility such as 123Scan on the Zebra unit. Either way, settings such as a suffix character, a prefix or a symbology being enabled or disabled are set once and then repeated across every unit you install. Record what you set. A counter where one scanner behaves differently from the next is a support problem that never fully goes away.

The Datalogic Magellan 3410VSi is recorded with Green Spot and multi-code scanning. Green Spot projects a good read confirmation onto the item itself, which is useful on a noisy counter where a beep is not reliably heard. Multi-code scanning reads more than one barcode in a single presentation, which matters where labels carry several codes.

Buying refurbished, and what to check

The Zebra DS9308 in this group is refurbished; the Honeywell Solaris 7190g and the Datalogic Magellan 3410VSi are new. Scanners refurbish well because there is very little inside them that wears: no printhead, no platen roller, no moving mechanism doing work on every cycle. What goes wrong on a used unit is almost always one of three things.

The cable. Scanner cables are interface-specific and the connector at the scanner end is frequently proprietary. A USB unit supplied with a serial cable is not a working scanner, and the replacement cable is an annoying thing to source in a hurry. Confirm that the cable is included and that it is the right one for the interface you intend to use.

The scan window. This is the optic, not a cosmetic panel. Light scuffing is normal and harmless. Deep scratches across the window scatter light, drop the read rate and cannot be polished out. On a presentation unit the window takes contact from every item that passes over it, so it takes more abuse than a handheld window does. Look at it specifically.

The stand or base. Where a unit uses a stand or a mounting base, it has to be present and it has to be the right one. A presentation scanner without its base is a scanner lying on its side on the counter. Ask.

Condition language varies across this market, so read it carefully. Whatever condition you buy, test before you deploy. Scan your own barcodes, on your own till software, into your own fields, at the counter the device will live on. A scanner that reads a test sheet on a desk tells you nothing about whether the suffix character is right for your point of sale application. Specifying the whole counter, not just the scanner

A scanner is one device in a counter position that usually contains three or four. If you are refitting rather than replacing a single failed unit, specify them together.
