Delivery Hardware: Devices and Printers for Last Mile

Delivery hardware is used outdoors, in vehicles, in weather, by people who are moving quickly and cannot stop to troubleshoot. It fails differently from warehouse equipment and needs specifying differently.

The environment is the specification

Four conditions that eliminate ordinary devices.

Weather. Rain, humidity and direct sun. An IP rating matters here in a way it does not in an office, and screens need to remain readable in bright sunlight — a device that works indoors can be effectively blank on a doorstep in summer.

Temperature swings. A device moves between a heated cab, a cold street and a chilled compartment repeatedly. That cycling produces condensation, which accumulates internally over weeks. Our cold chain guide covers why this matters more than the temperature rating alone.

Drops. Onto pavement, from standing height, repeatedly. A genuine drop rating rather than a rugged-looking case.

Vehicle vibration. Constant, and it affects mounts and connectors more than housings. Vehicle docks need to hold the device securely and charge it reliably through that vibration.

Battery life is the operational constraint

The thing that determines whether a route completes.

A driver on a full route uses the device continuously — scanning, capturing signatures, taking photographs, running navigation. That is a heavier draw than intermittent warehouse scanning, and cold weather reduces capacity further.

Three consequences.

Size for the longest route in the worst conditions, not the specification sheet figure.

Vehicle charging is not optional for long routes. A dock that charges while driving turns battery life from a constraint into a non-issue.

Connectivity will be intermittent

Plan for it rather than around it.

Delivery routes pass through areas with no signal — rural roads, basements, loading docks, underground car parks. A device that requires connectivity to function stops working there.

Offline capability is the requirement. The device must accept scans, signatures and photographs while disconnected and upload them on reconnection, exactly as batch mode does in a warehouse.

Route data should also be loaded before departure rather than fetched during, so a signal gap does not leave a driver without their next stop.

Test this deliberately. An application that has only been used in the depot with full signal has not been tested for the job.

Proof of delivery

What the device actually needs to capture, and each has a hardware implication.

Scanning the parcel at handover. Standard optics are usually sufficient, but labels arrive damaged, wet and creased, which is where a 2D imager’s tolerance matters over a laser.

Signature capture needs a screen usable with a finger, in the rain, by someone who has not used it before.

Photographs for damage, safe-place delivery and proof of condition. Camera quality matters more than people assume, particularly in poor light.

Location stamped against the event.

That combination is why delivery is a mobile computer rather than a scanner. A scanner captures the code and nothing else, and here the surrounding evidence is the point.

Printing at the door

Where mobile printers earn their cost in this sector.

Receipts, returns labels, collection labels and proof of delivery documents produced at the point of handover remove a return trip to the depot and remove the paperwork that gets lost between.

Two specifications. Durability, since the printer is carried and dropped alongside the device. And battery life matched to the route, with vehicle charging where routes are long.

Labels that survive the journey

A specific failure worth designing out.

Parcel labels travel through weather, handling and sorting equipment. Two problems recur.

Fading. Direct thermal fades under heat and light. For same-day and next-day it is fine; for parcels sitting in a hot vehicle or a sunny yard for longer, thermal transfer is safer.

Adhesive failure. Cold, damp or textured packaging needs appropriate adhesive. Recycled corrugate is rougher than people expect and standard adhesive lifts. Our media guide covers selection.

Fleet realities

Devices in vehicles are shared across shifts and drivers, which changes management.

Keep spares configured and charged rather than boxed — a driver waiting an hour for a device to be set up is a route not started. Common questions

Why does delivery need a mobile computer rather than a scanner?
