Brother Label Printers: QL, TD, PT and RJ Explained

Brother is one of the few manufacturers whose label printers are bought by two completely different kinds of customer. An office buys one to print address labels and file spines. A despatch bench buys one to print carrier labels all day. They walk into the same brand and walk out with machines that have almost nothing in common, including the consumable they will be buying for the rest of the printer's life.

That is the thing to understand before comparing any two Brother models. The letters at the front of the part number are not trim levels. QL, TD, PT and RJ are separate ranges built around different media, and the media is what you are really committing to. This guide walks through the four ranges, the units Tech Seller USA holds in each, and how to work out which one belongs on your bench.

Four ranges, four media systems

Start here, because everything else follows from it. Brother does not run one label printer line with a range of sizes. It runs several distinct families, and they do not share consumables. A roll that fits one range will not fit another, and there is no adapter that makes it fit.

QL is the die-cut and continuous roll range. This is the classic Brother label printer that most people picture: a small desktop box that feeds a roll of labels, either pre-cut to a fixed size or continuous stock that the printer cuts to length.

TD is the wider thermal range. These are heavier, take wider media, and are built to be driven by a system rather than by someone clicking print on a desktop application.

PT is the tape range, sold under the P-touch name. These print on laminated tape, not on labels, which makes them a different product category rather than a smaller version of the same thing.

RJ is the mobile range. Battery powered, carried on a belt or a strap, printing where the work is rather than at a bench.

Buying the wrong family is not a performance mistake that you live with. It is a supply mistake. You will be ordering that range's media, at that range's widths, for as long as you own the machine, and the stock you already have for another printer will not go in it. Settle the family first and the model second.

The PT range prints tape, and that is a different job

The P-touch units are the ones most often bought by mistake, because they look like label printers and are sold alongside them. What comes out of a PT is a narrow laminated strip: tough, adhesive backed, resistant to handling, and designed to be stuck onto a thing rather than onto a parcel.

That is genuinely useful work. Cable markers at both ends of a run, shelf edge labels, folder spines, equipment identification plates, switch and socket labelling, general facility marking. Laminated tape survives being handled, wiped and pulled at in a way that a paper label does not, which is exactly why it is the standard for cable and asset marking.

The practical limit is width. The recorded maximum print width on the PT units we hold is 1 inch, on both the PT-2430PC and the PT-2730. That is a strip, not a label. If what you need is a carrier shipping label, a pick label or anything that has to carry a large barcode and an address block, the PT range is the wrong range entirely and no model within it will fix that.

We hold three PT units. The PT-2430PC is recorded as thermal transfer at 180 dpi, 1 inch print width, USB, and 1.3 lbs, refurbished. The PT-2730 is recorded as thermal transfer at 1 inch print width and 1.9 lbs, refurbished; its resolution and connectivity are not recorded in our data, so both are confirmed on the actual unit before despatch. The PT-D410VP is a new desktop label and tape printer at 1.7 lbs; its print method, resolution and print width are not recorded either, and are likewise confirmed on the unit before despatch. We would rather tell you that than publish a figure we have not verified, and the same applies to the media cartridge each unit takes, which is checked against the machine rather than assumed from the model name.

The QL range: roll based, and where most buying lands

The QL range is where the majority of office and despatch purchases end up, and the split we hold makes the decision straightforward, because it comes down to width.

The QL-700 prints up to 2.4 inches wide, at 300 dpi, direct thermal, over USB, and weighs 2.5 lbs. That width covers address labels, file and folder labels, product labels, name badges and small identification labels. It is a single-workstation machine: plug it into the PC that generates the labels and it will sit there quietly doing that one job.

The QL-1110NWB prints up to 4 inches wide, also at 300 dpi, also direct thermal, and carries USB, Ethernet, Wi-Fi and Bluetooth in one unit at 3.8 lbs. Four inches is the number that matters, because that is the width a carrier shipping label needs. If you are printing parcel labels, 2.4 inches will not do the job and there is no configuration setting that changes that.

Both are recorded at 300 dpi, which is worth more than it sounds on a small label. Resolution matters when information density is high rather than as a general upgrade: small point text holds its shape, and 2D barcodes keep their cell grid at small sizes instead of breaking up. On a large parcel label with one big linear barcode you would not notice the difference. On a 2 inch label carrying a part description, a location and a data matrix, you would. Direct thermal or thermal transfer: the durability decision

This is the second structural split in the range, and it does not follow the width split. The QL units we hold are direct thermal. The TD-4420TN is thermal transfer.

Direct thermal has no ribbon. Heat from the printhead darkens a coated label directly, so the only consumable is the label stock itself, and there is nothing to thread or run out of mid shift. That simplicity is the reason the QL range is built this way, and for the work those printers do it is the right choice.

The cost is permanence. Direct thermal output fades with heat, light and abrasion. A label left on a sunlit shelf, in a warm van or rubbed by handling will go grey and eventually blank, and no darkness setting changes that, because it is the chemistry of the coating rather than a print quality problem. For an address label read in three days, a despatch label scanned at the depot, or a pick label used the same shift, none of that matters. For an asset tag, a rack location, a serial plate or anything filed and read years later, it matters completely.

Thermal transfer runs a ribbon and melts pigment onto the label, which is why the output lasts years rather than months. It is the method you want for anything archived, anything outdoors and anything that will be rubbed. A useful way to make the decision: ask how long the label has to stay readable and where it will live. Days, indoors, on a parcel means direct thermal. Years, anywhere, on a thing you own means thermal transfer. Buying the wrong one is the most common and most expensive mistake in this category, because it is only discovered months later when a shelf of asset tags has gone blank.

The TD-4420TN: the one that crosses into the warehouse

The TD-4420TN is the unit in our Brother holding that stops being an office printer. It is thermal transfer at 203 dpi, prints up to 4 inches wide, weighs 5.5 lbs and carries USB, Serial and Ethernet. Refurbished, like the rest.

Two of those things mark it out. The first is thermal transfer at 4 inches, which means it can produce a durable 4 inch label rather than a fading one. That covers asset tags, bin and rack labels, part identification and anything that has to survive a warehouse environment for years.

The second is the interface set, which is the giveaway that this is a system printer rather than a desktop accessory. Serial still matters more than people expect. Where an older weighing station, a labelling applicator, a test rig or a legacy terminal drives a printer directly, it very often does so over a serial connection, and a replacement printer without a serial port simply cannot be dropped in. If that is your situation, the port is not a nice extra, it is the entire compatibility question.

Ethernet is the other one, and it is what turns a printer into shared infrastructure. A USB printer belongs to whichever computer it is plugged into, and it stops working for everyone when that PC is replaced or moved. An Ethernet printer has its own address, several workstations can queue to it, and a warehouse or despatch system can address it directly without a PC in the middle. Connectivity across the range is your practical filter

Once you know the family and the print method, connectivity is usually what closes the decision, because it is the one specification that can rule a printer out completely.

The QL-700 is USB only. That is a deliberate design point rather than an omission: it is a one desk, one PC machine, and if that is the job it does it without any network configuration at all. The QL-1110NWB carries USB, Ethernet, Wi-Fi and Bluetooth in a single unit, which makes it the flexible choice when you do not yet know how the printer will be used, or when it needs to serve more than one workstation. The TD-4420TN carries USB, Serial and Ethernet, which is the set a shared or system-driven printer needs.

The two mobile units split the wireless question cleanly, and it is worth being deliberate about which side you land on. The RJ-4040 is Wi-Fi, 4 inch, 1.4 lbs. The RJ-4230B is Bluetooth, 4 inch, 1.9 lbs. Bluetooth pairs the printer to one device that the operator carries, which suits a driver with a handheld doing proof of delivery, or a picker with a scanner working a round: the pair travels together and there is no dependence on site wireless coverage at all. Wi-Fi puts the printer on the site network, so any authorised device can send to it and the system can address it directly, which suits a printer that moves between areas of one building and serves whoever is holding a terminal. The question to answer is whether the printer belongs to a person or to a place. All eight are supplied with a 30-day Tech Seller USA warranty. The PT-D410VP is new; the other seven are refurbished. Where a field reads confirmed on unit, that specification is not recorded in our data and is checked against the actual machine before despatch rather than guessed from the model name.

Weight tells you where these machines belong

The desktop units in this list run from 1.3 lbs to 3.8 lbs, with the TD-4420TN at 5.5 lbs. Those are counter and bench weights. A light chassis is not a criticism: it is the design brief. These printers are meant to sit on a desk, a despatch bench or a counter, print in bursts through the day, and be moved without a trolley.

What they are not is industrial printers. None of the eight is built for continuous all-day production printing, and buying one for that duty is how you end up replacing a printhead far sooner than you budgeted for. An industrial machine has a heavier chassis, larger media capacity, a more robust drive and a duty rating that assumes constant use. Weight is also a rough guide to media capacity and therefore to how often someone has to stop and reload. The lighter the unit, the smaller the roll it carries, and on a busy bench reload frequency is a real cost that nobody puts in the comparison. Settle the consumable question before you commit

This is the part of the decision that gets skipped, and it is the one that costs money later. Brother label media is a proprietary supply tied to the range. You cannot generally drop in a generic roll the way you can on some open-media printers, which means the consumable is part of the purchase decision rather than something you sort out afterwards.

Before you commit to any of these ranges, confirm three things. First, the exact media part number the unit takes, read from the machine rather than assumed from the model name. Second, that the media is available in the size and finish you actually need, not just in the common sizes. Third, that it is available at the volume you will consume it, from a source you are happy to depend on for years.

We deliberately do not publish a media code for these units, because we have not verified which cartridge or roll each specific machine takes. When you enquire we check it against the unit in stock and tell you. That is a slower answer than quoting a code from a datasheet, and it is the only honest one.

Treat this exactly as you would any printer with a closed media system, in any brand. Buying refurbished: the three checks that matter

Desktop thermal printers refurbish well, because there is very little in them to fail mechanically. Almost all the wear concentrates in a few places, and three checks cover most of the risk.

Printhead condition. The head is a consumable rated by the length of media printed, and it is the most expensive single part in the machine. The symptom to look for is a thin unprinted line running down every label in the same place. That is burnt-out elements rather than dirt, and no amount of cleaning brings it back. One or two dead elements in the middle of a barcode will fail scans even when the label looks acceptable to the eye. Ask what condition the head is in and whether it has been replaced. The platen roller. The rubber roller that drives the media past the head. Flat spots from being stored under tension, hardening with age and adhesive build-up from leaking labels all cause tracking drift, skewed labels and inconsistent darkness. This is the single most misdiagnosed fault in thermal printing: it presents as a print quality problem and gets blamed on the printhead, and people replace an expensive part when a cheap one was at fault. Box contents. The dull one, and the one that catches people out most often across this market. Power supplies, mains leads, interface cables and roll spindles go missing from refurbished listings routinely, and a printer without its power supply is not a working printer, it is a project. For the mobile units, the battery and charging arrangement belongs in the same check. Confirm what is included before you order rather than after it arrives. One tuning note that saves printheads: if output looks faint, do not reach for the darkness setting first. Faint print is nearly always media, platen pressure or a dirty head, in that order, and raising darkness shortens element life without fixing any of the three. Ordering

Several of these units share a family name and differ in ways that matter, so read the full part number off the label on the machine rather than working from the range. A QL-700 and a QL-1110NWB are both QL printers and they take different media at different widths. A PT-2430PC and a PT-2730 are both P-touch and are not the same machine. An RJ-4040 and an RJ-4230B look alike and connect completely differently.
